Cowork Frederick, a DBA under Ferguson Holdings, LLC, was created to foster and support a coworking community in Frederick, MD. We provide members access to that community and to workspace with amenities such as desks, printers, and Internet access. In exchange, we charge a monthly fee. This addendum applies when a member of Cowork Frederick has access to a private office, as well as the common, shared workspace, and supplements that agreement. If a conflict exists between the two, the Membership Agreement shall apply.
By signing up for a private office, you agree to the following:
- Office Access. You will be given a key to your assigned private office. You shall not give your key to others. If (and only if) your office has multiple occupants, you may make a copy of your key to give to them (after notifying us per #3 above). You must notify us in writing within 24 hours if you or anyone to whom you have given a copy loses your key. If this agreement is terminated for any reason, you must return your original key and all copies within 24 hours.
- Additional Occupants. If your office allows multiple occupants, we must be notified of all persons who will occupy the private office on a regular basis so that we can update our records and provide them access to the building. Each person must also complete a Cowork Frederick member profile.
- Guests. You may bring temporary guests (clients, colleagues, employees, etc.) into your office, so long as you do not exceed the maximum number of allowed occupants in the office (roughly one person per 50 square feet). You will be notified of the maximum number of occupants. Generally speaking, a meeting room should be reserved for meetings. Doing so is required for gatherings that exceed the maximum number of occupants for your office.
- Office Use. Our offices are for office work only and are not suitable for businesses that would routinely have clients coming in to receive services (make-up, massage, healthcare, therapy, etc.). They are also not suitable for work that is noisy or involves hazardous (or just stinky) materials. Such uses are forbidden and you shall not use your office for such activities.
- Right of Entry. We reserve the right to enter your private office, with a minimum of 24 hours’ notice to make repairs, restorations, or conduct any activity in connection with the improvement, safety, protection, or preservation of the office or the building overall. We will make every attempt to reach you and confirm our scheduled entry. A Slack message and/or email will be deemed sufficient as notice. That said, if in our opinion there is an emergency and immediate action is required, we will enter your private office without notice.
- Cleaning. We hire services to clean our building(s). You will be notified of the regular cleaning schedule. We will not notify of an individual cleaning unless it falls outside the regular schedule. You may opt out of having your office cleaned by notifying us in writing. Regardless, keeping your private office clean and free of trash and debris remains your responsibility. If we provide cleaning, the service we hire will dust flat surfaces that do not have anything on them and will vacuum and/or mop the floors. They will not clean any objects or equipment in the office and will not move anything in order to clean.
- Repairs. Because we will not regularly be in your office, we are not able to adequately monitor the office for issues. You shall promptly notify us of needed repairs. See the Membership Agreement regarding your liability for repairs.
- Condition of the Premises. You acknowledge that the office was in good and clean condition at the time it was assigned to you. You shall report any exceptions to us within 10 days of occupying the office. And, you agree to to keep the office in good, clean and sanitary condition throughout the time you occupy it.
- Alterations. You shall not alter the office, its fixtures or equipment without our prior written consent. That said, we’re generally open to you changing the paint color or rug(s) and you’re welcome to bring your own desk(s) and chairs(s). Just be sure to ask us first. Unless you have our written agreement, you may be required to pay the full cost of restoring the office to its prior condition.
- Photographs. Our right to take pictures of you in our workspace is limited to shared or common areas. We will not photograph you in your private office without your express permission to do so.
